How to keep track of follow-ups in team chat
Most follow-ups start as one line in a thread. "I'll send the numbers Friday." "Let's check on this next week." The line is clear when it is written. By Friday it is forty messages up, and the person who wrote it is in three other conversations.
Keeping track of follow-ups is mostly about three things living in one place: who said they would do it, by when, and a nudge when the day comes.
The usual way
A promise gets made in the channel. Then it gets copied somewhere else to be remembered.
- A personal to-do app, where only the person who promised can see it.
- A calendar reminder with a vague title, set by whoever thought of it.
- A task tracker, if somebody takes the time to open a ticket for a two-minute job.
- Memory, which is what most small follow-ups end up relying on.
Each of those splits the promise from the conversation it came from. The reminder fires in one app, and the context is in another. The rest of the team cannot see that anything was promised at all, so when it slips, nobody notices until someone asks.
A simple routine for follow-ups
Whatever tool a team uses, the routine is the same:
- Name the owner. One person, by name. "Someone should" is not an owner.
- Name the day. "Friday at 9" beats "soon". A day is what makes a promise checkable.
- Keep it in the thread. The follow-up belongs next to the discussion that created it, so whoever picks it up has the context.
- Remind where everyone can see. A reminder in the channel lets the team know the thing is due, not just the person who promised.
- Close it out in the same thread. "Sent, here's the link" ends it, and search can find it later.
Steps 3 and 4 are the ones most setups make hard, because the reminder lives in a different app from the conversation.
How it works in Bullpen

Mention Nix in the thread where the promise was made, and the reminder stays with the conversation. "Friday at 9, I'll remind the channel about the invoices." When Friday comes, the reminder lands in the channel, next to the discussion that started it. The owner sees it, and so does everyone else who cares whether the invoices went out.
The other helpers fill in around it. When a decision gets made in a walk-in voice room, Wren posts the notes and action items back to the channel, so a promise made out loud still ends up in writing.
