Bullpen is a young product and these pages move with it. Everything below describes what the software actually does today — if a sentence stops matching the product, that is a bug, and we want the email.

Terms of service

Bullpen is team chat with voice rooms and AI agents that hold a real seat. These are the rules for using it.

The short version

  • What you write stays yours. We store it so the product works, and we don't sell it or advertise against it.
  • Agents can be wrong. They answer from the messages they were shown, they cite what they used, and they say so when they found nothing. Check anything that matters, and don't treat an answer as professional advice.
  • Voice rooms are not recorded unless somebody starts it. When they are, everyone in the room sees a recording indicator and the channel gets a message saying so.
  • Paid plans renew until you cancel. Stripe takes the payment and holds the card; cancelling is a button in Stripe's billing portal, reachable from Server settings.
  • The agents are a paid feature. A free workspace still has them on its roster; it does not get replies from them. Every paid plan carries a monthly agent allowance shared by the whole workspace, and when it runs out the agents stop answering until it resets, rather than quietly running up a bill.
  • You can delete your account. Your profile goes; the messages you wrote stay in the channels as "Someone".

Who this is between

"Bullpen", "we" and "us" mean the people who operate this service. "You" means the person using it — and, if you set up a workspace for a company or a team, that organisation too.

Using Bullpen means you accept these terms. If you are agreeing on behalf of an employer, you are saying you are allowed to.

These terms are version 2.0. The version and the date at the top of this page are what identify the document you agreed to.

Your account

You sign up with an email address and either a password of at least eight characters or a one-time sign-in link we email you. You also pick a username, which is unique across Bullpen and is how teammates @ you.

Keep your email inbox and your password to yourself — a sign-in link in the wrong inbox is an account in the wrong hands. One account is one person; don't share logins.

You are responsible for what happens under your account. Tell us at support@bullpen.chat if you think somebody else is in it.

Your workspace and what you write in it

Messages, files, channel names and room names stay yours. You give us permission to store, transmit and display them for the one purpose of running Bullpen for you and the people you share a workspace with. We claim no other right to them, and we do not use them to train models.

Inside a workspace, membership is what decides who reads what. Anyone in a channel can read everything posted in it. A direct message is between the two people in it. Workspace admins manage members, channels and agents. The workspace owner can delete the whole workspace, which deletes everything in it for everyone.

Files ride along with messages: up to five per message, up to 10 MB each, and only from a fixed list of types — images, PDFs, plain text, Markdown, CSV and zip archives. They are stored privately and are readable by the workspace they were posted in.

You are responsible for what you post — including having the right to post it.

Agents, and what they can and can't do

Agents are software members of your workspace. They never take a seat and they are never billed as people, but replying is part of the paid plans — see Plans and Limits. What follows describes an agent that answers. When you mention one, it is shown recent message history from channels you can already read, older messages matching your question from the same set, and a directory of the workspace's channels, rooms, people and agents. That material is sent to a third-party model provider to produce the reply. See the Privacy page for exactly what goes and to whom.

An agent is never shown your direct messages when it is asked from a channel, and an agent asked inside a DM is shown that DM and nothing else. The scope is decided per question rather than per agent, because an answer is read by whoever can read the room it lands in.

An agent answers from what it was shown and cites the messages it used. It has no web access and no memory beyond that context, so when it has nothing it says so rather than inventing something. That design reduces confident nonsense; it does not eliminate it.

Agent output is not advice — legal, financial, medical, or otherwise professional. It can be wrong, out of date, or confidently both. Don't act on it for anything that matters without checking it yourself, and don't put it in front of somebody else as though a person wrote it.

Recording a voice room

Voice rooms are live audio between the people in them. Nothing is recorded until a member presses "Ask Scribe to take notes" in the voice dock.

While a session is running, two things are true at once:

A red indicator sits in the voice dock of everyone in the room reading "Recording — Wren is taking notes."

Wren posts a message in the channel reading "Wren is taking notes in [room]. Everyone here can see the recording indicator."

Only the person who started the session, or a workspace admin, can stop it. When it stops, the audio is transcribed and Wren posts the decisions and action items it could ground in what was actually said.

Recording people is your responsibility, not the button's. Consent rules for recorded audio differ by state and by country, and some require everyone on the call to agree. By starting a session you are telling us you have whatever consent the law where those people are requires. The indicator exists so nobody is recorded secretly; it is not legal advice and it is not a substitute for asking the room.

One honest limit worth knowing: capture starts for the people who are in the room at the moment the session starts. Somebody who joins afterwards is not captured until they rejoin a later session.

Things you may not do

  • Break the law with it, or help somebody else do that.
  • Harass people, or post content that is illegal to post where you are.
  • Post content you have no right to post, or that infringes somebody else's copyright, trade secret or privacy.
  • Upload malware, or use Bullpen to attack anything — including Bullpen.
  • Work around permissions, seat caps, rate limits or the metering. Probing for other workspaces' data counts.
  • Scrape the product, resell it, or run it as a proxy for a service of your own — including reselling agent replies as an API.
  • Use the agents to generate anything the underlying model providers forbid, or to produce material about a person that would be unlawful to publish.
  • Record a voice room where you do not have the consent that recording it requires.

Plans, payment and renewal

Every workspace is on a plan. Free needs no card. The paid rungs are bought by the workspace owner, monthly or annually, and a year costs 10 months.

Agent replies come with the paid plans. Free is chat, files and voice rooms for a small team; the agents are visible in it and will not answer in it. Everything else on this page that describes an agent describes a paid workspace.

  • Free — $0, and no card is asked for. Up to 5 people, no agent replies, 200 MB of files.
  • Starter — $29 a month, or $290 a year. Up to 10 people, 6,000 agent actions a month, 2 GB of files.
  • Team — $79 a month, or $790 a year. Up to 25 people, 20,000 agent actions a month, 10 GB of files.
  • Business — $199 a month, or $1,990 a year. Up to 75 people, 60,000 agent actions a month, 50 GB of files.
  • Enterprise is a conversation rather than a checkout: custom seats, custom terms, an invoice. Email support@bullpen.chat.

Those are the list prices in US dollars, and the app renders them from the same table this page does. Prices exclude tax. Stripe collects a billing address at checkout and adds VAT, GST or sales tax where it applies; a VAT-registered business in the EU can enter its number and pay the reverse-charge amount.

Stripe processes the payment, and Bullpen never sees a card number. Card details are entered on Stripe's own checkout page and held by Stripe. What we store against your workspace is the Stripe customer id, the subscription id, the plan and the interval — nothing else about the payment.

Your plan changes when Stripe tells us the payment completed, not when a browser lands on a success page. If a payment fails, Stripe retries it on its own schedule and the plan stays live while that is happening.

Subscriptions renew automatically — every month or every year, at the then-current price — until somebody cancels.

Cancelling happens in Stripe's billing portal, which the owner opens with Manage billing in Server settings. Cancellation takes effect according to Stripe's rules for that subscription, which normally means you keep the plan until the end of the period you have already paid for and are not billed again. We do not pro-rate or refund a part period by default; if something went wrong, email support@bullpen.chat and we will look at it like adults.

When a subscription ends, the workspace returns to Free: the Free seat and storage limits apply to it again, and the agents stop answering. Nothing is deleted by that change — the messages, the files and the agents themselves are all still there.

Limits, and what happens at one

On Free there is no allowance, because there are no replies. Mentioning an agent in a free workspace gets this instead of an answer:

Agents are part of the paid plans — the workspace owner can upgrade in Server settings → Billing.

Every paid plan carries a pooled monthly agent allowance for the whole workspace — not per seat, because a team of two that leans on agents hard costs more to run than a team of eight that barely mentions one. It is shown in the app as a number of actions, and admins can watch it in Server settings.

We refuse agent calls at the cap. When the pool is gone, mentioning an agent gets you this and nothing is spent:

Voice minutes and transcription are metered and shown, and they do not come out of the agent pool. Seats and file storage have their own per-plan ceilings, listed above; a workspace at its seat cap cannot add another person until somebody leaves or the plan changes.

There is also an hourly ceiling — 30 agent replies per workspace — so one busy channel cannot empty a month's pool in an afternoon. We can pause or throttle a workspace whose usage is running up cost far beyond normal use, and we will tell you rather than let it fail quietly.

Availability and change

Bullpen is young. We may change how something works, or remove it, and we will say so in the product for anything that materially affects you. There is no uptime commitment and no support commitment on any plan; if you need one in writing, that is an Enterprise conversation.

Data loss is possible. We take reasonable care and we are not promising a backup you can call on. Keep your own copy of anything you would be sorry to lose.

Parts of the product depend on services we do not run — the model provider, the voice network, the payment processor. When one of them is down, that part of Bullpen is down with it.

Ending it

You can stop using Bullpen whenever you like:

  • Leave a workspace, which removes your membership from it.
  • Cancel a subscription in the billing portal, which stops the renewal.
  • Delete a workspace, if you own it. That is one action and it removes everything in it — channels, messages, members, agents, invites, usage records and note-taking sessions — for everyone, permanently.
  • Delete your account. Email support@bullpen.chat from the address on the account and we will do it. Your profile goes; the messages you wrote stay in their channels with the author detached, rendered as "Someone". The Privacy page spells out exactly what that removes and what it leaves behind.

Deleting your account does not cancel a subscription on a workspace you own, and does not delete that workspace. Cancel it and hand the workspace over — or delete it — before you ask us to delete you, or tell us to do both and we will.

We can suspend or close an account that breaks these terms, or a workspace that is being used to harm somebody. Where we can, we will say why and give you a chance to fix it first; where somebody is being harmed, we will act first. A workspace suspended for non-payment is a different thing: Stripe's retries run their course, and the plan drops to Free rather than the workspace disappearing.

Warranties and liability

Bullpen is provided as is, with no warranty of any kind — no guarantee it is fit for a particular purpose, error-free, uninterrupted, secure, or available when you need it. That includes agent output: we do not warrant that an answer is accurate, complete or suitable for anything.

To the fullest extent the law allows, we are not liable for lost profits, lost data, lost business, or any indirect, incidental or consequential loss arising from using Bullpen — including a decision somebody made because an agent said something.

To the fullest extent the law allows, our total liability for any claim is limited to what you paid us in the twelve months before the claim. On the Free plan that amount is nothing, which is the honest consequence of a plan that costs nothing.

Nothing here limits liability that cannot legally be limited — including for death or personal injury caused by negligence, or for fraud.

Children

Bullpen is a workplace tool for adults. It is not for anyone under 13, and we do not knowingly collect anything from a child. If you believe a child has an account, email support@bullpen.chat and we will remove it.

Changes to these terms

When these terms change, the version and the date at the top of this page change with them. If a change materially affects you — pricing, what we do with your content, how recording works, what an agent is shown — we will say so in the product or by email before it takes effect.

A price change applies from your next renewal and never in the middle of a period you have already paid for.

Continuing to use Bullpen after a change means you accept the new version. If you don't, stop using it, cancel any subscription, and ask us to delete your account.
